On your Fugent Dashboard, select Menu > Scheduling Assistant
Select, "Create Schedule".
The next screen will allow you to customize your new schedule:
Refer to the steps below for each section outlined and titled in red above.
A. Schedule Name
Customizing the name of your schedule allows you to easily identify what the schedule is intended for if you have multiple availabilities. This can be a unique name given to a:
- Group of Contacts
- Geographical Region
- Time Period Available
(Optional) Including a Schedule Description - Selecting, "YES", the description entered will be visibly displayed for your audience on your Scheduling Assistant page.
B. What Types of Meetings Would you like Visitors to Request?
There are three available options for meeting requestors (In-Person, Web Meeting, Phone Only) . Select all that apply for this particular schedule you are creating.
C. What Durations are Visitors Allowed to Choose?
Multiple meeting time durations are made available to the requestor. You can customize which durations are available to meeting requestors for this particular schedule you are creating.
D. Do you want to create a Lead Time/Wrap Time for Meeting Requests?
A lead time allows for a customizable buffer time between the current time and the next available time slot on your schedule. Choosing an appropriate lead time discourages last minute scheduling.
Example: If the current time is 9:15 AM. With a lead time of one hour chosen, My next available appointment would be 10:15 AM.
A wrap time allows for a buffer time after your meetings scheduled within Fugent. Typically, wrap times are used for entering notes about the meeting you hosted and/or prep for the next meeting.
Example: your scheduled meeting ends at 11:30 AM, a wrap time of 30 minutes chosen will display 12:00 PM as your next available meeting in your schedule.
G. Do you want to set a default meeting location for in-person appointments?
NOTE: If "In Person" appointments selected above in section "B." this field will appear pictured below.
If you want to set a standard meeting location for In Person meetings, you can enter the address information here.
H. Allow Booking
If you want to limit how long you are looking to allow the booking, you can select three options below.
This section defaults with a 90 day window of rolling availability. Requestors will not have access into your calendar past that 90th day. This option can be further customized with a shorter or longer number of days.
"Date Range" will only show availability between two dates.
Selecting, "Forever" will have no parameters around your future availability.
I. Set Available Times
The section pictured above will allow you to customize the available times/dates for each day of the week. All times are associated with your selected default time zone when creating your account.
Select a date on the calendar to further customize each selected day available. The below module will appear when a date is selected on the monthly calendar view.
A. Are You Available on the selected date?
Depending on the initial date chosen, are you available/unavailable for appointments for the date selected.
B. Time Intervals
Time intervals can be entered in this field. The"+Add Time Interval" will allow you to add multiple time blocks into your schedule.
C. Meeting Increments Displayed
You can select between a 15, 30 or 60 Minute time blocks to be displayed.
D. When would you like to apply this selected availability
Depending on the options selected above, you can choose to:
1. "Only On..." - Applies only on the initial date selected
2. "On Repeating Days" - Applies only on selected days of the week
3. "On Specific Days" - Applies availability on custom dates
Select, "Apply" to save the updated information. You'll notice that the monthly calendar will update with your new available dates/times you've applied.
Email Settings for Appointment Requests
The Email Settings section allows you to send automatic meeting reminders to the meeting requestor. These can be sent between an hour and a week in advance.
Depending on the permissions you are granted in your Fugent account, you will only have one email template available for meeting reminder emails.
Select, "Save Settings" to update and save your new schedule.
